Email apps do not carry the picture inside the signature: they load it from a web address every time the email is opened. So the picture has to be online already, on your site or an image host, at an https address that ends in .png or .jpg. This page uploads and hosts nothing.

Only fonts every computer and phone already has, so the signature looks the same for the person reading.

Nothing you type is sent to VISU or saved. The preview loads your picture straight from the address you typed, the way an email app would.

Rich text is what Gmail, the new Outlook and Apple Mail expect: copy, click in the signature box and paste. "Copy HTML" is for apps with an HTML signature field.

How to add it to your email

Gmail

  1. Click "Copy as rich text" above.
  2. In Gmail, click the gear, then "See all settings".
  3. In the General tab, scroll to Signature and click "Create new".
  4. Click inside the box and paste. Choose it under "Signature defaults", then click "Save changes" at the bottom of the page.

Outlook on the web and the new Outlook

  1. Click "Copy as rich text" above.
  2. Open Settings (the gear), then Accounts, then Signatures.
  3. Click "New signature", give it a name and paste into the box.
  4. Pick it as the default for new messages and for replies, then save.

Classic Outlook for Windows

  1. Click "Copy as rich text" above.
  2. Go to File, Options, Mail, then "Signatures".
  3. Click "New", name it and paste into the box with Ctrl+V.
  4. Classic Outlook draws emails with the Word engine: a round photo shows as a square and spacing can shift a little.

Apple Mail on Mac

  1. Click "Copy as rich text" above.
  2. In Mail, open Settings, then Signatures, and pick the account.
  3. Click the plus sign and untick "Always match my default message font".
  4. Paste. The picture may show as a placeholder in this window and still appear in the emails you send.

Mail on iPhone and iPad

  1. Open this page on the phone and tap "Copy as rich text".
  2. Open Settings, then Apps, Mail, Signature (on older versions: Settings, Mail, Signature).
  3. Paste. If the formatting disappears, shake the phone and tap "Undo" to bring it back.

Email apps move their menus now and then. If a name below does not match, search the settings for "signature".

One link in your signature, everything behind it

A signature has room for one link that matters. A VISU Link puts your links, offers and contact on one page, at a short visu.to address. When something changes you edit the page, and every email you already sent still points to the right place.

How to use it

  1. Type your name, role and company, then the phone, email and website you want people to use.
  2. Add your link page and, if you want, up to three more links with a short text for each.
  3. For a photo or a logo, paste the web address where it is already hosted. Nothing is uploaded here.
  4. Pick one of the five layouts, a colour and a font, and check the preview.
  5. Click "Copy as rich text" and paste it into the signature box of your email app.

Examples

  • A freelancer

Name, "Photographer", phone, email and one link page with portfolio and booking. Compact layout, no picture, so it stays light in long threads.

  • A small team

Everyone uses the Classic layout with the company logo from the company site, the same colour and the same order of lines. Each person changes only name, role and phone.

  • A creator who answers brands

Round photo, name, niche as the role, and a link page that opens the media kit and the rate card.

Questions

How do I add the signature to Gmail?

Click "Copy as rich text", then in Gmail open the gear, "See all settings", and in the General tab find Signature. Create a new one, click inside the box, paste and save at the bottom of the page. The steps for Outlook and Apple Mail are on this page too.

Why does the picture need a web address?

Because an email signature does not contain the picture: it contains the address, and the email app downloads the picture each time. That is why it must already be online at an https address. This page uploads nothing, so host it on your own site or on an image host you trust.

Will it look the same in every email app?

It is written to hold up: tables instead of modern layout, a style on every cell and only fonts every device has. Apps still differ in details. Classic Outlook for Windows shows round photos as squares, and some apps hide pictures until the reader allows them. Send yourself a test before you rely on it.

Which font and size should I use?

A system font such as Arial or Georgia at 13 to 14 pixels reads well everywhere. Custom web fonts do not load in most email apps, so this tool does not offer them.

What should a signature include?

Your name, what you do, one phone, your email or website and one link that leads to everything else. More than five or six lines gets skipped, and a signature full of pictures is slow to load and often shows up blocked.

Is anything I type stored?

No. The signature is built in your browser. Your name, phone and links are not uploaded, not saved and not written into the page address.

Can I use it in Outlook or Apple Mail on the phone?

On iPhone and iPad, yes: copy as rich text and paste it in Settings under Mail, Signature. Many other phone email apps only take a plain text signature, so there the formatted one applies to what you send from a computer.
